The external share feature allows you to securely share a case with people outside of your organization, such as law enforcement, insurance providers, or contractors. This makes it easy to collaborate on incidents without requiring external parties to have an account in your system. Instead of downloading video files and uploading them to another platform — a process that is slow, insecure, and error-prone, you can now share cases directly with a secure link.
Prerequisites
An admin must enable External Sharing in the Organization Settings.
You must have Case Manager permission to share a case externally.
How to Share a Case Externally
Navigate to the Cases page in the Arcules web application.
Select the case you’d like to share or create a new Case.
Navigate to the Shared With section and click the '+' icon. Then click the External tab.
Choose your sharing preferences (e.g., link expiration, download evidence permission).
Note: Audit logs for a Case is not available for download to an external user.
Click Save. A secure share link is generated instantly and sent to recipients right away. The link automatically expires after the first click or after 60 minutes, whichever comes first.
If the recipient is still within the allowed access window, they can request a refreshed link to be sent to their inbox.
Revoking Access
You maintain control at all times and can revoke access instantly.
Open the case and go to the Shared With list.
Click the 3-dot menu and Remove the recipient. This immediately revokes their access.
